How to confirm med spa appointments with a clear message using ChatGPT
2026-10-29 · education · ChatGPT · appointments
To confirm a med spa appointment, share the date, time and location you’ve already checked in the calendar. Give the customer a clear way to reply or request a change, using reception’s actual instructions.
A possible message is: “Hi, this is a reminder about your appointment on [date] at [time] at [confirmed location]. Could you reply to confirm you’ll attend?” The draft communicates the appointment; reception checks its status and records the response.
Separate a booking from an offered time
Before drafting, check what’s saved in the calendar. If you’ve offered times but the customer hasn’t chosen one, write a scheduling question. Don’t describe an option as a confirmed booking.
If there is a booking, verify that its date and time are still current. Decide whether you need an attendance confirmation or just want to send a reminder. The message should explain what reply you expect.
For this exercise, prepare logistical facts without names or health details: “Customer A; booked appointment; [date]; [time]; [public location].” Leave out treatments, photos, medical history, medications and reasons for the visit. This example covers reception communication only.
What the draft needs
Use a date the customer can understand and decide whether to include the weekday. Avoid “tomorrow” if the message may be read later. If you have several locations, use the one in this booking.
Add the approved channel for changes. If your business has an administrative arrival or confirmation instruction, include it only after checking that it’s current. Don’t ask ChatGPT to invent preparation instructions, cancellation deadlines, charges or office requirements.
The appropriate team handles clinical instructions through its authorized process. This writing exercise doesn’t generate or adapt those instructions.
A prompt you can copy
This uses the appointment preparation exercise in our free guide with 10 prompts and focuses it on logistics:
Help me write an administrative appointment confirmation for [Customer A] at my med spa. Status checked in the calendar: [booked / still needs scheduling]. Confirmed facts: [clearly written date, time and public appointment location]. The action I need from the customer is [confirm attendance / choose an option / another confirmed action]. For replies or changes, they should use [approved channel and instructions]. Other current administrative instructions, if any: [approved wording or none]. Write a message of three sentences or fewer in [English / Spanish]. Keep our usual English tone and greeting: [description]. For Spanish, use [tú / usted]. If the tone or a necessary fact is missing, ask me. Use only the facts I gave you. Don’t confirm an appointment that still needs scheduling. Don’t add treatments, clinical preparation, result guarantees, charges or cancellation rules. Give me only a draft to check before sending.
Example of a booked appointment
Reception checked a booking for October 20 at 3 p.m. at the customer’s usual location. The office needs an attendance confirmation in the same conversation. These are example details; replace the date and check your calendar before using the message. The Spanish example uses tú.
Possible English message:
Hi, this is a reminder about your appointment on October 20 at 3 p.m. at [confirmed location]. Could you reply to confirm you’ll attend?
Possible Spanish message:
Hola, te recordamos tu cita del 20 de octubre a las 3 p. m. en [ubicación confirmada]. ¿Puedes confirmar que asistirás respondiendo a este mensaje?
If you need to offer appointment options instead, change the status and requested action in the prompt. A possible reply is: “Hi, these are the times we’ve just checked: [available times]. Which works for you?” Check the calendar again before booking the selected option.
What to check before sending
Compare the draft with the current booking. Verify the location and check that the customer hasn’t requested a change since you prepared it. Replace every bracketed field.
Review the reply instruction. The customer should know whether to confirm, choose a time or call. Remove any rule you didn’t supply and check that the tone fits the conversation.
Send through the approved channel and record the response using reception’s process. A draft doesn’t update your calendar. If the customer asks a clinical question, route it to the appropriate team.
