How to prepare for a customer appointment with ChatGPT

2026-10-27 · education · ChatGPT · appointments

To prepare for a customer appointment, gather its purpose, confirmed logistics and the questions you need to resolve. Ask ChatGPT for a short list to review before the conversation, keeping known facts separate from information that still needs checking.

A useful opening question might be: “What would you like to clarify about the service?” It helps you begin without assuming the customer has decided to hire you or needs a recommendation.

What should I have on hand before the appointment?

Check the day, time, time zone for a remote meeting and its location or channel. Note who will attend and what you’ll discuss. If your office has approved preparation instructions, use only those and check that they apply to this appointment.

For practice, use Customer A and summarize what’s needed without copying their file. Leave out financial or clinical details, identification numbers and private links. Add actual contact details later in your business’s usual channel.

Example: a professional-services office has a video call with Customer A on Thursday at 2 p.m. Eastern time. The person responsible for the service wants to understand the administrative support requested and clarify information before preparing a proposal. The customer hasn’t said when they’d like to start. The office hasn’t requested documents or confirmed a price. Its tone with this customer is friendly and direct.

What prompt can I copy into ChatGPT?

This adapts prompt 9 in our 10-prompt guide.

Prompt
Help me prepare an administrative appointment with [Customer A] about [topic]. My business is [type of business]. Confirmed facts: [day, time, time zone, location or channel and attending staff role]. What I know about the request, without private details: [notes].

Give me five questions to understand the request and three things to check before preparing a proposal. Separate customer questions from internal checks. Don’t label something confirmed unless it’s in my notes.

Office-approved preparation instructions: [text or none]. Don’t add required documents, deposits, prices or requirements. Don’t generate clinical preparation instructions, treatment recommendations or professional decisions.

Also write a reminder of no more than three sentences using the confirmed logistics. Match my existing customer tone: [greeting and wording I use]. Ask me if I leave that out. Use only my facts and flag missing information. I’ll check the calendar, add the actual access details outside the chat and decide whether to send the reminder.

What could the meeting list look like?

For the office example, the five questions could be:

  1. Which part of your administrative work would you like to discuss?

  2. How do you handle it today?

  3. What would you like to clarify about our service?

  4. Who would be involved if we proceed?

  5. Is there a start date you’d like us to consider?

The internal checks would be confirming who will lead the meeting, reviewing the service’s current scope and checking the office’s proposal process. The last customer question identifies a preference; it doesn’t promise you can start on that date.

A possible reminder is: “Hi, here’s a reminder of our video call on Thursday at 2 p.m. Eastern to discuss your administrative support request. Does that time still work for you?” Add the actual meeting access details only after checking them in the office’s system.

What if the appointment is at a med spa?

You can use the same structure to check the time, location and contact channel. Limit questions to the administrative purpose of the conversation, such as a booking question or how to contact reception. Keep clinical details and treatment questions out of the prompt.

If someone needs clinical preparation instructions, the med spa’s authorized staff should provide them through the approved channel. Don’t ask ChatGPT to fill them in. For a reminder alone, use the logistics reception confirmed.

What should I check before the appointment?

Confirm the calendar hasn’t changed and the questions match the actual purpose. Remove added requirements and keep pending decisions visible. Save the notes wherever your team normally prepares appointments. A text draft doesn’t book, change or confirm an appointment itself.
